Creating custom statuses for your business and your specific needs is easy.

Go to Settings > Follow-up Builder

Click the green tab with a “+” to create a custom status. Once you do that, you can click the edit icon next to the newly created status. When you do, you’ll see the following things to edit:

You can rename the status. In the above example, it is renamed to “Call me back in…”

Then you can determine what kind of status it is. A present date status will always start the moment it is entered into by a customer and then all follow-up will be scheduled based off of the distance from the date it started.

A “future status” type will allow you to schedule some date in the future and then you can choose to send emails prior to or after that date in the future.

In the example above, it might work like this:

The customer says to call them back in a month to check in about doing some work. You would change the status to the custom status “Call me back in…” and ResponsiBid would know that becasue it is a date in the future you would have to enter in a date. You would simply choose a date that is about 1 month into the future. Once you have done this, you could set an email to go out one day before that date, and then maybe another email to go out to remind you to call them 1 day after that date. Pretty nice, eh?

Now, in the main Follow-up Builder page, click that custom status’ tab and you can determine how you want the follow-up emails or sms features to function

Edit the timing, send from email address, subject line, and email content

Remember to enable the emails, and then click “Save (your status name) Follow Ups”

You’ll get a success notification at the top of the page “Custom Status saved successfully”

You can delete custom statuses by clicking the trashcan icon next to it’s name, and then clicking “delete” in the pop-up dialog box.
